Zapier integration

Connect Tempus Tools to thousands of apps and automate your quoting workflow with Zapier

Tempus Tools connects to Zapier, so you can link your quotes, customers and contacts to thousands of other apps without writing any code. When something happens in Tempus Tools, such as a quote being ordered, Zapier can act on it in another app. Zapier can also make changes in Tempus Tools, such as creating a customer or marking a quote as paid.

For the live, up-to-date list of what it can do, see Tempus Tools on Zapier.

How Zapier works

An automation in Zapier is called a Zap. Each Zap has:

  • A trigger: the event that starts the Zap, for example "Quote Ordered" in Tempus Tools.

  • One or more actions: what the Zap does next, for example creating a card in Trello or adding a row to Google Sheets.

Tempus Tools triggers are instant, so your Zaps start as soon as the event happens.

What you need

Free and paid Zapier plans

A free Zapier account gets you a long way. On the free plan:

  • Each Zap has two steps: one trigger and one action.

  • You can only use apps that Zapier doesn't class as premium.

  • You get a monthly allowance of tasks. Each action a Zap completes counts as one task.

Paid Zapier plans add multi-step Zaps (one trigger followed by several actions), premium apps, filters and paths. This is where you can automate whole workflows from a single event. Zapier's plans and limits change from time to time, so check Zapier's pricing page for the current details.

Getting started

  1. Sign in to Zapier and create a new Zap.

  2. When choosing the app for your trigger or action, search for Tempus Tools.

  3. Connect your Tempus Tools account. Zapier opens a Tempus Tools page asking whether you want to give Zapier access to your account. Sign in if you're asked to, then approve. You only need to do this once. Zapier remembers the connection for future Zaps.

  4. Choose the trigger or action event, fill in the fields and test the step.

  5. Add the rest of your steps, then publish the Zap.

Ready-made templates

The quickest way to start is with one of our two-step templates:

What people use it for

A few ways Tempus Tools users put Zapier to work. Treat these as a starting point: the triggers and actions below can be combined in many more ways.

  • Win and loss tracking: add every issued, ordered and lost quote to one master Google Sheet, so you can analyse win rates and trends your own way.

  • Work orders in your own system: Tempus Tools already notifies you when a Web Store order comes in or a quote is paid. Zapier can also create a card or task in the tool where you manage work orders, such as Trello.

  • Production scheduling: add ordered jobs to Google Calendar, with the event length based on the cutting and processing times Tempus Tools calculates (available in the quote's CSV data).

  • CRM sync: keep your customers and contacts in step with HubSpot or another CRM.

  • Custom accounting workflows: Tempus Tools already connects natively to Xero and QuickBooks. If you need something more customised, Zapier can do it.

If you only want to save quote zip files to Google Drive, our built-in Google Drive integration does this without Zapier.

Good to know

  • Tempus Tools IDs are not quote numbers. Actions such as Find Quote, Mark Quote Ordered and Download Quote Pack need the Tempus Tools ID, which isn't shown anywhere in Tempus Tools (except the quote ID which is in the URL bar of your browser). To use it, map it from an earlier step, such as a trigger. If you only have a quote number, use Search Quotes first to find the quote.

  • Quote status rules still apply. A quote must be calculated without any problems before it can be marked as Issued. It must be Issued (or a Web Store order pending confirmation) before it can be marked as Ordered, and Ordered before it can be marked as Invoiced.

  • One event can fire more than one trigger. For example, when a customer pays through Stripe, both Quote Paid and Quote Ordered fire.

Triggers

Triggers start a Zap when something happens in Tempus Tools.

Quotes

  • Quote Created: a new quote is created, including when a quote is duplicated.

  • Quote Issued: a quote moves to Issued. This happens when you mark a draft quote as Issued, or when a Web Store customer calculates taxes and shipping at checkout. Emailing or downloading a draft quote doesn't move it to Issued.

  • Quote Pending Confirmation: a Web Store customer submits an order and the quote moves to Pending Order Confirmation. This only happens when Web Store payments are off. Confirming the order fires Quote Ordered.

  • Quote Rejected: you reject a Web Store order that was pending confirmation.

  • Quote Ordered: a quote moves to Ordered. This happens when you mark it as Ordered (including "Mark as paid and ordered"), when you confirm a pending Web Store order, or when your customer pays through Stripe.

  • Quote Paid: your customer pays through Stripe, or you mark a quote as Paid.

  • Quote Invoiced: a quote moves to Invoiced.

  • Quote Lost: you mark an issued quote as Lost.

  • Quote Cancelled: you mark an ordered quote as Cancelled.

  • Quote Voided: you mark an invoiced quote as Voided.

Customers and contacts

  • New Customer: a customer is created.

  • Updated Customer: a customer is updated.

  • New Contact: a contact is created.

  • Updated Contact: a contact is updated.

Actions

Actions make changes in Tempus Tools.

Customers and contacts

  • Create Customer: creates a customer. Needs a company name. Account code and billing and delivery country codes are optional.

  • Update Customer: updates an existing customer's company name, account code, or billing or delivery country code. Needs the customer ID.

  • Create Contact: creates a contact for an existing customer. Needs the customer ID and a name. Email and phone are optional.

  • Update Contact: updates an existing contact's name, email or phone. Needs the customer ID and contact ID.

Quotes

  • Create Quote: creates a new, empty quote. You can give it a name.

  • Mark Quote Issued: marks a quote as Issued. The quote must already be calculated without any problems in Tempus Tools.

  • Mark Quote Ordered: marks a quote as Ordered. The quote must be Issued, or a Web Store order pending confirmation.

  • Mark Quote Paid: marks a quote as Paid, for a payment received outside Stripe. If the quote isn't Ordered yet, this also moves it to Ordered.

  • Mark Quote Invoiced: marks a quote as Invoiced. The quote must be Ordered.

Searches

Searches find existing records in Tempus Tools, so later steps in your Zap can use their details.

  • Find Customer: finds a customer by their Tempus Tools ID, mapped from an earlier step.

  • Search Customers: searches customers by company name or account code, including partial matches. Returns a list.

  • Find Contact: finds a contact by their Tempus Tools ID, mapped from an earlier step. Needs the customer ID and contact ID.

  • Search Contacts: searches contacts by email address. Returns a list.

  • Find Quote: finds a quote by its Tempus Tools ID (not the quote number), mapped from an earlier step.

  • Search Quotes: searches quotes by name, invoice number, work order number, RFQ number, purchase order number or customer. Returns a list.

  • Download Quote Pack: downloads the quote pack zip for a quote, using its Tempus Tools ID (not the quote number), mapped from an earlier step.

This list was last checked on 29 October 2026. The Tempus Tools page on Zapier always shows the current triggers and actions.
